Moving from a cash register or spreadsheet to a cloud POS

Plenty of Maldivian shops still run on a basic cash register or a spreadsheet. It works — until you want to know what is selling, why stock never matches, or how much GST you owe. Moving to a cloud POS sounds daunting, but with a little preparation it is a smooth switch.

Why make the move at all?

A till records totals; it does not tell you anything. A cloud POS turns every sale into information: what sold, when, to whom, and at what margin. It keeps stock accurate automatically, produces GST receipts and reports, and lets you check your shop from your phone. The payoff is less guesswork and far less month-end stress.

Step 1: Get your product list ready

The biggest part of any migration is your catalogue. Pull together your products with their barcodes, prices and — if you can — current stock counts. A spreadsheet is fine; it is often exactly what gets imported. Clean this list up before you start: remove duplicates, fix prices, and decide your categories. Time spent here saves headaches later.

Step 2: Decide what to bring across

You do not need to migrate years of history to start selling. Focus on what you need on day one: products, prices, opening stock, and your key customers if you run credit accounts. Older records can stay where they are for reference. Starting lean gets you live faster.

Step 3: Set up tax and receipts once

Configure your GST rate and receipt format up front so everything is correct from the first sale. If tax has been a manual chore until now, this is the moment it stops being one — see our GST and MIRA guide for the essentials.

Step 4: Train your team on the basics

Your staff do not need to learn everything — just the core flow: ring up a sale, take each payment type, hold and recall a bill, and print a receipt. Run a few practice transactions together. A confident cashier on day one is worth more than any advanced feature. A good provider will handle setup and training for you.

Step 5: Go live — and keep selling through hiccups

Pick a quieter day to switch over. Keep your old method on standby for the first day or two if it helps your nerves. Choose a POS that works offline so a connectivity blip on launch day does not stop sales — here is why offline matters in the Maldives.
